Getting started & signing in

One workspace, one sign-in. This guide explains the kinds of accounts on Simusim, exactly how each one signs in, what to do when a PIN or password is forgotten, and how a single sign-in opens every app your school has given you.

§ 01What Simusim is

Simusim is a workspace for schools. Instead of one app for attendance, another for grades, a cashbook for fees, and a WhatsApp group for announcements, everything reads from one place. Each person — student, parent, teacher, administrator, bursar — has one account, and that one account opens every app they're allowed to use.

The workspace includes:

  • Portals — a Student Portal, Parent Portal, and Teacher Portal, each showing exactly what that person needs.
  • School operations — School Admin (user and class management), the Staff Console (attendance, gradebook, computer-based testing, lesson plans), Finance (fees and receipts), and the face check-in gate kiosk.
  • Learning apps — Simu Primary, Simu JHS, Simu Science Lab, vMaths, Stories, and Arena, all aligned to the NaCCA curriculum.

Families without a participating school can also use Simusim directly through a self-serve family account.

§ 02Accounts & roles

How you sign in depends on who you are. There are three sign-in methods, and your school gives you the right one automatically:

Your codes and PINs are created by your school. Students and parents receive theirs on a printed login card; school admins receive an email invitation with a temporary password.

§ 03Your school's sign-in page

All school sign-ins happen at login.simusim.com. Each school has its own page there — for example login.simusim.com/kumasi-prep. To get to yours:

  1. Open login.simusim.com in any browser, on any phone, tablet, or computer. You'll see the heading “Sign in to your school workspace”.
  2. Start typing your school's name in the school finder. Matching schools appear as you type — tap yours.
  3. The site remembers your school on that device. Next time you'll land on your school's page straight away. Picked the wrong one? Tap Not this school? Change it to search again.
  4. On your school's page you'll see the school's name and three doors: Student (“Use your student code and PIN.”), Parent or Teacher (“Use your phone number and PIN.”), and Admin (“Use your email and password.”). Tap the one that matches you.
Shortcut Students can skip all of this: scan the QR code on your printed login card. It opens your school's page with your student code already filled in — you only type your PIN.

§ 04Students: code + PIN

  1. On your school's sign-in page, tap the Student door.
  2. In Student code, type the code from your login card — for example 2H4KMN. Your card may show it with your school's three-letter prefix (like KMP-2H4KMN). Both forms work; you can include or skip the prefix. Small letters are fine — the form converts them for you.
  3. In PIN, type your 4-digit PIN.
  4. Tap Sign in. You'll land in your Student Portal (or directly in a learning app, if that's where you started).

If the code or PIN is wrong, you'll see “Code or PIN is incorrect.” Check your card and try again — and if you've lost the card or forgotten the PIN, ask your class teacher or the school office to print you a new one.

§ 05Parents & teachers: phone + PIN

  1. On your school's sign-in page, tap the Parent or Teacher door.
  2. In Phone number, type the number your school registered for you. Local format works — e.g. 0244 000 000 — and so does international format (+233 24 400 0000). Spaces and dashes don't matter.
  3. In PIN, type your 4-digit PIN.
  4. Tap Sign in. Parents land in the Parent Portal; teachers land in the Teacher Portal.
Note Your phone number must match the one your school has on record. If you've changed numbers, ask your school admin to update it before you try to sign in.

§ 06Admins & office staff: email + password

  1. On your school's sign-in page, tap the Admin door.
  2. Enter your Email and Password, then tap Sign in.
  3. First time? If you were given a temporary password, Simusim takes you to a “Set your password” page right after sign-in: choose a new password (at least 8 characters), type it twice, and tap Set password. Then sign in again with the new password.

§ 07Login cards

Schools print wallet-sized login cards for students, parents, and teachers — eight to an A4 sheet. A student card shows:

  • The school name and the student's name (and class, if assigned).
  • The student code — e.g. KMP-2H4KMN.
  • The PIN — printed only on freshly issued cards (see the note below).
  • The school's sign-in address — e.g. login.simusim.com/kumasi-prep.
  • A QR code that opens the sign-in page with the code pre-filled.
  • The reminder: “Keep your PIN secret.”

Parent and teacher cards are the same idea, with the registered phone number in place of a student code (and no QR).

Important Treat the card like a key. Anyone holding the code and PIN can sign in as that person. If a card is lost, ask the school admin to reset the PIN — the old PIN stops working immediately and a fresh card can be printed.

§ 08Forgotten PINs & passwords

Students (PINs)

A student's PIN can't be recovered online — by design. Ask your school admin (or the school office) to reset it. They'll do this from the School Admin app in seconds and can hand you a freshly printed card. The old PIN stops working the moment it's reset.

Parents and teachers (PINs)

Parents and teachers can reset their own PIN from the sign-in page. Open the Parent or Teacher door and tap Forgot PIN?. Enter your registered phone number and we'll text you a 6-digit code (it expires in about 10 minutes); enter the code, choose a new PIN, and you're back in. If the text doesn't arrive, your school admin can reset it for you instead.

School admins (passwords)

  1. On your school's sign-in page, open the Admin door and tap Forgot password?
  2. Enter your admin email and tap Send reset link. You'll see: “If that email exists for this school, you'll receive a reset link shortly. The link expires in 1 hour.”
  3. Open the email, follow the link, and on the “Set a new password” page enter a new password (at least 8 characters) twice. Tap Set password.
  4. Sign in with the new password. If the link has expired you'll see “This reset link is invalid or expired. Request a new one.” — just repeat from step 1.

§ 09Locked accounts

After several wrong attempts in a row, an account is locked and you'll see: “Your account is locked after too many attempts. Ask your school admin to unlock it.”

  • This is automatic protection against guessing — nothing is broken.
  • The lock does not clear by itself. A school admin unlocks the account from School Admin → Users → Unlock account (Simusim staff can also unlock it).
  • If you suspect someone else has been trying your PIN, ask your school admin to reset it as well.

§ 10Moving between apps

You sign in once. After that, Simusim hands you between apps automatically — from the Student Portal into Simu JHS, from the Teacher Portal into the Staff Console, from School Admin into Finance. You may briefly see a “Signing you in” page during the handoff; that's normal.

  • Sessions last about 12 hours. After that, the next thing you click will bring you back to the sign-in page — sign in again and continue.
  • To sign out, use the Sign out button inside the app you're in.
Shared devices On a shared computer (school lab, internet café), sign out of each app you used — every app keeps its own session. The sign-in page reminds you of this when you sign out.

Every app lives at its own address. You'll rarely need to type these — the launchers inside each app take you across — but here's the full map:

§ 12Error messages explained
